Property Management Services in Mumbai: What They Cost, What They Cover, and How to Choose (2026)

Mumbai property management costs 5-10% of rent plus 18% GST. What a full mandate covers, the three fee models, and 8 questions to ask before choosing.

If you own a flat in Bandra, Powai, Worli or Thane and you are not living in it, you have three options. Manage it yourself. Ask a relative. Or appoint a property management company. Most owners arrive at the third option only after the first two have cost them money.

This guide covers what property management services in Mumbai actually include in 2026, what they cost, and — more usefully — the specific questions that reveal whether a provider is a genuine management house or a broker with a monthly invoice.

What property management in Mumbai actually covers

There is no statutory definition, which is precisely why scope varies so wildly between providers. A genuine full-service mandate spans five distinct functions.

1. Tenanting

Correct market pricing, professional photography and listing, tenant sourcing, background and employment verification, negotiation and closure. Pricing is where most value is created or destroyed: a flat listed 8% above market sits empty for two months, which costs far more than the 8% ever earned.

2. Documentation and compliance

Leave-and-licence drafting, e-registration with the Sub-Registrar — mandatory in Maharashtra for agreements of twelve months or more — stamp duty, police intimation for tenant verification, and society intimation and NOC. For non-resident owners, add power of attorney and registration assistance, which should be achievable without an embassy visit.

3. Rent and financial administration

Rent tracking, reminders, follow-up, escalation clauses at renewal, deposit handling, and — the part owners underestimate — clean records. You will need downloadable income, expense and TDS reports at year-end, and they need to reconcile to your Form 168 (the annual tax statement that replaced Form 26AS) and AIS without a week of forensic work.

4. Maintenance and inspections

Two-stage inspections with photographic condition reports at move-in and move-out, a vetted vendor panel, routine property audits, pre-authorised repairs up to an agreed threshold, and coordination with the housing society.

5. Exit and re-letting

Notice handling, dilapidation assessment, deposit reconciliation, utility and society dues clearance, move-out refresh, and immediate re-listing. The gap between one tenant leaving and the next arriving is pure loss, and a good manager compresses it.

What it costs in Mumbai

Three fee models dominate.

ModelTypical structureBest suited to
Percentage of rent5-10% of monthly rent, plus 18% GSTStandard long-term residential lets
Fixed monthly retainerFlat fee regardless of rent, plus 18% GSTHigh-value flats where a percentage would be disproportionate
Tenanting fee + management feeOne-time placement fee (often 15-30 days' rent) plus a smaller recurring feeOwners with stable, long-staying tenants

Two cost items are routinely left out of the comparison, and both matter more than the headline percentage.

GST at 18%. Property management is a taxable service. A 7% fee on ₹1,00,000 monthly rent is ₹8,260 a month once GST is added, not ₹7,000. Always compare providers GST-inclusive.

Vendor markup. This is the silent one. A manager who marks up plumbing, painting and electrical work by 20-30% can quietly earn more from your maintenance than from your management fee — and has an incentive to recommend work you do not need. Ask directly whether vendors are billed at actual cost. At TND, maintenance funds are held in the TND Wallet and disbursed to verified vendors at actual cost with zero markup, which removes the incentive problem entirely rather than promising to resist it.

Anyone can find you a tenant. The question is who is still answering the phone in month fourteen.

The eight questions that actually separate providers

Most owners ask about the fee. The fee is the least informative thing about a management company. Ask these instead.

  1. What is your average days-on-market for a comparable flat in this micro-market? A manager who cannot answer this does not measure the single largest driver of your returns.
  2. Who holds the security deposit — you or me? Get the answer in writing, in the agreement.
  3. Are vendors billed at cost, or do you mark up maintenance? If the answer is vague, assume a markup.
  4. What is the pre-authorisation threshold for repairs, and who signs off above it? Without a threshold you get either constant emails or unauthorised spending.
  5. What reporting do I receive, and will it reconcile to my tax filings? Live rent status, expense records and TDS reports should be downloadable, not reconstructed on request.
  6. Is the tenanting fee charged again on renewal? Two providers quoting the same percentage can differ by tens of thousands a year on this alone.
  7. How many properties does one manager handle? A dedicated manager for a premium portfolio is a different service from a shared queue.
  8. Where is my tenant's data stored, and who can see my portfolio? Screening data and portfolio metrics should sit on private, controlled infrastructure — not a shared spreadsheet or a public CRM.

Is it worth it? The arithmetic

Take a Mumbai flat at ₹1,00,000 a month with a 7% management fee.

  • Annual rent: ₹12,00,000
  • Management fee: ₹84,000
  • GST at 18%: ₹15,120
  • Total annual cost: ₹99,120

Now the other side. A single avoided two-month vacancy is ₹2,00,000 — more than twice the annual fee. One correctly screened tenant instead of one default saves a recovery process that in Mumbai routinely runs into years. One inspection that catches seepage early saves a structural repair.

One caution on the modelling: management fees are not tax-deductible against rental income. Income from house property permits municipal taxes, a flat 30% standard deduction on net annual value, and home loan interest — nothing else. Not management fees, not brokerage, not society charges. Evaluate the fee on vacancy performance and risk reduction, never on a tax shield that does not exist.

Frequently asked questions

What is the typical property management fee in Mumbai?

Commonly 5-10% of monthly rent plus 18% GST for residential lets, with fixed-retainer and placement-fee-plus-management structures also in use for premium properties.

Do I need a property manager if I live in Mumbai?

Less obviously than an owner abroad, but the case still holds for multiple properties, for premium flats where tenant quality matters, and for anyone who does not want to arbitrate maintenance disputes. Owners living overseas have far less choice — remote self-management usually means informal management by a relative, with its own costs.

Does a property manager handle TDS on rent?

A good one runs the mechanics — deduction, deposit, statements, certificates — but the statutory liability stays with whoever pays the rent. For NRI-owned property this matters a great deal, because the tenant must hold a TAN and deduct at 30% plus surcharge and cess with no threshold.

Is GST charged on residential rent?

A residential dwelling let to an individual for use as a residence is exempt. Let to a GST-registered person, 18% applies under reverse charge, payable by the tenant — unless taken in a personal capacity as their own residence.
