Gate & visitor access
Pre-approved visitors, OTP-verified entry, delivery and cab handling, domestic staff passes, and a live gate log the committee can audit. Works alongside your existing boom barriers and RFID readers.
TND IT Services · Housing societies & gated communities
Gate access, maintenance billing, helpdesk and a lobby kiosk — built around your society's bye-laws instead of a template. Your residents' data stays on your system, hosted in India, and is never sold or mined.
What we build
Most societies run the gate on a register, billing on a spreadsheet, complaints on a WhatsApp group and accounts somewhere else entirely. We put every one of those functions into a single system that the managing committee controls, with each module configured to how your society already works.
01
Pre-approved visitors, OTP-verified entry, delivery and cab handling, domestic staff passes, and a live gate log the committee can audit. Works alongside your existing boom barriers and RFID readers.
02
Per-flat or per-square-foot billing, sinking fund, non-occupancy and NOC charges, interest on arrears exactly as your bye-laws define it, part-payments, and receipts raised automatically.
03
UPI, netbanking, NEFT and cheque, reconciled against the society's bank account so the treasurer is not matching entries by hand at the end of every month.
04
Member ledgers, income and expenditure, balance sheet and the schedules your auditor asks for — exported in the format your CA already works in, so the annual audit stops being a scramble.
05
A resident raises a ticket and it routes to the right technician or vendor with a clock running against it. Nothing gets lost halfway up a WhatsApp group at eleven at night.
06
Clubhouse, gym slots, party hall and guest rooms, with deposits, cancellation rules and a shared calendar that makes double bookings impossible.
07
Circulars and AGM notices with delivery receipts, so the committee can demonstrate that a notice actually went out. Polls and resolutions recorded against the member register.
08
Security, housekeeping and technicians on biometric or QR attendance, with shift rosters and contractor bill verification against hours actually worked.
09
Allotted bays, resident and visitor vehicle registers, and violation logging tied back to the gate so disputes are settled from a record rather than memory.
10
Conveyance deed, registration certificate, AGM minutes, audit reports and AMC contracts in one permissioned place — so a handover between committees takes an afternoon, not a month.
11
Arrears position, collection percentage, open tickets, expiring contracts and cash position on one screen, with a monthly pack ready before your managing committee meeting.
12
CCTV and ANPR cameras, biometric readers, existing barrier hardware, accounting software and payment gateways — connected rather than replaced, wherever the hardware allows it.
The differentiator
An app only helps the residents who have installed it, kept it updated and remembered the password. In a real building, the people who most need to raise something — a senior resident, a domestic worker, a visiting contractor, the guard on the night shift — are the least likely to be holding a phone with the app open. So we put a touchscreen where the problem actually happens.
A wall-mounted or free-standing screen at the main gate, in the lobby, or both. Larger societies typically run one at each tower entrance.
Standard commercial hardware we supply and mount, or your existing screens if you already have them. Locked to the society application, remotely updated, and monitored by us.
Data privacy
A society system holds an unusually sensitive record: who lives where, who visits them, when they come and go, what they owe, and what their domestic staff look like. We charge for software so that we never have to earn from that record. Here is exactly what that means in practice.
The data belongs to the society, not to us. You can export it in full at any time, in a readable format, and take it with you if you ever decide to work with someone else. That right is written into the contract rather than left to goodwill.
Your society's data sits on servers in Indian data centres, with encryption in transit and at rest, daily backups and a documented restore process that we test rather than assume.
We do not sell resident phone numbers to brokers, lenders or insurers, we do not pass your member register to a group company, and there is no advertising inventory inside your society's application.
A guard sees today's gate list. A resident sees their own flat. The treasurer sees the ledgers. Camera footage and visitor history are access-controlled and retained only for the period the committee sets.
Consent capture, purpose limitation, retention limits and deletion requests are handled inside the product, and we sign a data-processing agreement that names the society as the data fiduciary and us as the processor.
Societies that want the system entirely on their own infrastructure can have it. We deploy on your server, hand over administrative access, and support it from the outside.
Why custom
Off-the-shelf society apps are competent products, and for a straightforward building they are often enough. The friction shows up when your society does something the template did not anticipate — a differential rate for shop units, a legacy arrears position, an unusual sinking fund resolution, or gate hardware installed a decade ago.
How we deploy
Most failed society software rollouts fail in the same place: the data migration. Arrears come across wrong, a few members are missing, and by the second billing cycle the committee has quietly gone back to the spreadsheet. We spend the bulk of the effort there.
STEP 01
We read the bye-laws and the relevant AGM resolutions, then map your current billing heads, arrears position, gate hardware, staff structure and vendor contracts. You get a written scope before anything is built.
STEP 02
Flat register, member records, opening balances and outstanding dues are brought across from your existing app, Tally or spreadsheets, then reconciled against your last audited figures line by line before go-live.
STEP 03
Kiosks mounted at the gate and lobby, integration with existing barriers and readers, then separate training for the committee, the manager, the guards and the residents — because those four groups need entirely different things.
STEP 04
A named person the committee can call, the monthly reporting pack delivered before your meeting, and changes made when your bye-laws or your committee change. Support does not end at handover.
Who it's for
We work with committees and managers who are accountable to their members — and with the developers and facility managers who hand buildings over to them.
Common questions
Yes. We bring across the flat and member register, contact details, opening balances and outstanding dues, then reconcile the total against your last audited figures before go-live. Where a vendor does not provide a clean export, we work from your billing records and bank statements instead. We do not switch a society over until the arrears position matches to the rupee.
No. There is an app for Android and iOS for the residents who want it, but every essential action also works through WhatsApp and through the lobby kiosk. That matters more than it sounds — in most societies a meaningful share of residents, and almost all domestic staff, will never install anything.
On servers in Indian data centres, encrypted in transit and at rest. Access is role-based, so a guard sees only the day's gate list and a resident sees only their own flat. Our own staff access is logged and limited to support requests you have raised. Societies that would rather host everything themselves can do so.
Usually. Boom barriers, RFID readers, biometric attendance devices and most ANPR cameras expose a standard interface we can connect to. We audit what is installed during the scoping stage and tell you plainly if something needs replacing rather than discovering it after you have signed.
It depends on the number of flats, which modules you take and how many kiosks you install, so we quote per society after a walkthrough rather than publishing a rate card. What we can say is that the price is the whole price — there is no advertising revenue, referral commission or data licensing propping it up underneath.
The society holds a licence to the system and outright ownership of its own data. If you decide to move on, you receive a complete structured export and a documented handover. For larger installations we also offer source code escrow so the society is not exposed if anything happens to us.
Yes. Ledgers, income and expenditure, the balance sheet and the audit schedules export in the formats most society auditors already use, and we speak to your CA directly during setup so the chart of accounts matches what they expect at year end.
For a single building of a few hundred flats, typically four to eight weeks from scoping to go-live, with most of that time spent on data migration and training rather than software. Multi-tower townships take longer and are usually rolled out tower by tower.
Tell us how many flats you have and what you are running today. We will walk your committee through what the system would look like for your society specifically — including what we would not recommend changing.
Thirty minutes, at your society or over a video call. No obligation.
TND Listings builds and supports society management systems; we are not a law firm, an audit firm or a data protection consultancy. Descriptions of the Digital Personal Data Protection Act, 2023 on this page are a general summary and are not legal advice — a society should take its own advice on its obligations as a data fiduciary. Integration with existing gate, camera and attendance hardware depends on the specific make, model and firmware installed, and is confirmed only after a site audit. Delivery timelines assume the society provides the member register, opening balances and access to its premises. Accounting exports are provided for your auditor's use and do not constitute an audit or certification of the society's accounts.
