NRI Property Management in Mumbai: A 2026 Guide for Owners Living Abroad

Run your Mumbai flat from abroad in 2026: remote POA, tenant screening, 31.2% TDS on NRI rent, NRO repatriation, and what to demand from a manager.

An NRI owning property in Mumbai faces a specific version of a universal problem. The asset is valuable and appreciating. The income is real. And every operational task attached to it — a tenant renewal, a society NOC, a leaking bathroom, a TDS certificate — requires someone physically present, during Indian business hours, who is accountable to you.

This guide covers what running a Mumbai property from abroad actually involves in 2026, and where the genuine risks sit. Most of them are not the ones owners worry about.

The five things that actually go wrong

In our experience across 650+ homes under care, remote ownership fails in predictable places.

Vacancy nobody is urgently solving. When a tenant gives notice at 2am your time, the clock starts immediately. A flat re-let in three weeks versus eleven weeks is a difference of roughly two months' rent — the single largest swing in your annual return, decided entirely by ground responsiveness.

Tenant quality. Recovering possession from a defaulting tenant in India is slow and expensive. Verification, employer confirmation and previous-landlord references are cheap relative to a two-year problem, and they require someone to actually make the calls.

Maintenance drift. Nobody inspects, so nothing is reported until it is expensive. Seepage answered in a week costs a few thousand rupees; ignored for a monsoon it becomes structural.

Compliance gaps. This is the one that creates permanent records. Rent paid to a non-resident landlord attracts TDS at 30% plus surcharge and cess with no threshold at all — the tenant must hold a TAN, deduct monthly, deposit by the 7th, and file quarterly Form 144 (formerly Form 27Q). Tenants routinely apply the resident rules by mistake, and the resulting default sits against their PAN while your credit never appears in Form 168 (the annual tax statement that replaced Form 26AS).

Money you cannot see. Cash maintenance, verbal vendor quotes, no photographic record, no reconciled statement. By the time you visit Mumbai, the trail is cold.

Remote compliance: what should not require a flight

A frequent and unnecessary assumption is that NRI ownership requires periodic trips to India or visits to a consulate. In 2026 the great majority of it does not.

  • Power of attorney. A POA limited to property management — rent collection, maintenance, representing you before authorities — is a different instrument from one authorising transfer of property. The latter must be registered; the former is generally lighter. Execution can be handled remotely with proper attestation, and a competent manager will run the process for you rather than send you a checklist.
  • Rental agreements. Digital rental agreements and e-registration with the Sub-Registrar remove the need for your physical presence at signing.
  • Utility and asset transitions. Name changes, meter transfers and society records can be processed on your behalf under the management mandate.

What genuinely requires care is the tax layer, because the liability attaches to real people and does not go away quietly.

The tax picture, briefly

Rental income from Indian property is taxable in India regardless of where you live. It falls under Income from house property, and you may deduct municipal taxes actually paid, a flat 30% standard deduction on net annual value, and home loan interest. Nothing else — not society charges, not management fees, not repairs.

Meanwhile the tenant withholds on gross rent at roughly 31.2%. On ₹12,00,000 of annual rent, that is ₹3,74,400 withheld against a liability that is very often materially lower. The remedy is a lower deduction certificate, applied for early in the financial year and circulated to each tenant — and it is the owner's job to obtain it, not the tenant's.

Rent must be credited to an NRO account. Repatriation is permitted up to USD 1 million per financial year after taxes, using the current remittance forms.

We have covered this in depth in our companion pieces on TDS on rent and NRI rental income, and you can run your own numbers with the TND TDS calculator.

Distance shouldn't mean disadvantage. Most of what goes wrong with NRI-owned property is a process problem, not a distance problem.

What to demand from an NRI property manager

The market has a lot of brokers describing themselves as managers. Six things distinguish the real thing.

1. A single accountable point of contact

Not a call centre, not a rotating queue. One person who knows your flat, your tenant and your history, and who answers to you. For premium portfolios this should be a dedicated manager.

2. Visibility you do not have to ask for

You should be able to open an app and see rent status, upcoming renewals, inspection reports and expenses without emailing anyone. Reporting supplied only on request is not reporting.

3. Zero markup on maintenance

A manager who profits from your repairs has an incentive misaligned with yours. Funds held and disbursed to verified vendors at actual cost — as with the TND Wallet — removes the conflict structurally.

4. Documented inspections

Two-stage inspections with photographs at move-in and move-out, plus routine audits during tenancy. This is what makes a deposit deduction defensible and a dispute short.

5. Compliance handled, not just mentioned

RERA-compliant documentation, POA and registration assistance, and downloadable income, expense and TDS reports that your chartered accountant can use directly at filing time.

6. Discretion and data control

Your portfolio, your tenant's documents and your contact details are sensitive. Screening should run on private, controlled infrastructure, with non-disclosure as the default and no spam as a guarantee — not as a favour.

Frequently asked questions

Can an NRI manage property in India without a power of attorney?

For routine management — rent collection, maintenance, tenant coordination — a POA is often not strictly required, though it makes many processes smoother. A POA authorising sale or transfer of immovable property must be registered.

What TDS applies to rent paid to an NRI landlord?

30% plus applicable surcharge and health and education cess — typically 31.2% — with no threshold. The tenant needs a TAN, deducts monthly and files quarterly Form 144 (formerly Form 27Q). This is entirely different from the resident-landlord rules.

Can rental income be sent abroad?

Yes. Rent is credited to an NRO account, and up to USD 1 million per financial year may be repatriated after applicable taxes, with the prescribed remittance documentation.

Do I need to visit India to rent out my flat?

Generally no. Digital rental agreements, e-registration and remote POA execution mean tenanting and management can be completed without you travelling.

How much does NRI property management cost in Mumbai?

Typically 5-10% of monthly rent plus 18% GST, or a fixed retainer for premium properties. Compare on a GST-inclusive basis, and ask specifically about vendor markup and renewal fees.
